General Rules -
Eligibility: Material submitted to the 2008 Hygeia Awards must have been produced in Canada, for use in Canada, completed after January 1, 2007, and not submitted to any prior Hygeia Awards program.
Language: Entries may be submitted in English, French, or both official languages.
Deadline: The deadline for entries, Friday, February 29, 2008, has now passed.
Categories: There are eight categories. You must carefully read through the rules of each category to ensure your materials are directed correctly. Due to the volume of entries, no single entry or component piece may be submitted in more than one category. Please photocopy the entry form provided and submit each entry on a separate form. Note that in categories which require more than one set of materials, photocopies of the entry form should be attached to each set.

Judging: Judges are independent of HCPRA and knowledgeable in the category which they are judging. They will determine winners based on the entry information and the materials submitted by entrants. If no entry meets the criteria in a given category, no award will be granted. The decisions of the judges are final. Entrants wishing to receive copies of judges' comments on their entries should include a stamped, self-addressed envelope for each entry.
Fees: PER ENTRY: HCPRA members - $75; Non-HCPRA members - $125. All fees should be remitted with entries, by cheque or money order payable to: HCPRA. Visa and MasterCard are also accepted. Entries not accompanied by fees will not be accepted.
Agencies/Consultants: Judges will take into account the differences in resources available to entrants, especially where use of outside consultants was involved. Entries will be judged on value achieved from resources employed. All entries must be submitted in the name of the client rather than the name of the consultant or agency. If the client wishes, a duplicate certificate of honour to be issued to the agency or consultant in the event of an award, please indicate their name on the entry form in the space provided. Additional copies cost $25.00 each.
Return of Materials: All entries to the Hygeia Awards become the property of HCPRA. If indicated on the entry form in the space provided, materials will be returned C.O.D. By entering the Hygeia Awards, you grant HCPRA rights, title and interest to reproduce your work in Impressions and other HCPRA print and electronic publications.

1. Internal Newsletters:
For audiences in-house: staff, physicians, volunteers, etc. Submit three sets of three consecutive issues of your high frequency, low cost, primarily text-oriented newsletter. Attach a completed entry form to each set. In addition to entry information, judges will look for clear, concise, readable copy that exhibits high editorial standards; effective use of colour or graphics; and an overall creative presentation.

2. External Publications:
For audiences outside of your organization, association, etc. Submit three sets of three consecutive issues of your primarily text-oriented newsletter, magazine, newspaper insert, or advertisement. It must be produced regularly (for example: annually, quarterly, bi-monthly). Attach a completed entry form to each set. In addition to entry information, judges will look for clear, concise, readable copy that exhibits high editorial standards; effective use of colour or graphics; and an overall creative presentation.

3. Annual Reports:
Any shape, size or format. Send three copies with a completed entry form attached to each. Judges will look for clear, concise and imaginative writing, and creative graphics. They will consider suitability of photographs or illustration to overall presentation, clarity of presentation for financial and statistical materials, and effective use of colour.

4. Special Purpose Communication - General:
A one-time effort, or a communication piece produced on an irregular basis to meet a specific need. Examples could include a newspaper advertisement, a poster, or a community mail piece. The entry should exhibit a creative solution to a communication opportunity such as a hospital expansion, special event, government relations work, or a crisis situation. Send three copies with a completed entry form attached to each. Judges will look for clear, concise writing with high editorial standards, creative planning and design and an effective use of photographs and/or graphics which enhance the overall look of the entry.

5. Special Purpose Communication - Fundraising:

6. Multi-Media Production:
Video, CD-ROM, virtual tour or high-level Powerpoint productions aimed at an internal and/or external audience. Send three copies and a completed entry form. Multi-projector entries must be submitted on videotape cassette. All videotaped entries must be submitted on VHS, CD or DVD format . Judges will look for high quality of pictures and sound, originality, impact of message, and well-written scripts.

7. Strategic Communications Program:
A complete communications program designed to inform, educate or persuade specific audience(s) about a specific issue. The program should rely on a variety of media and activities (e.g. internal communications, community relations program, special events program, media relations program). Send three copies of your program with a completed entry form attached to each copy. Package your program in a three ring binder; photographs may be mounted and included. Do not send actual promotional objects or giveaways (no teddy bears, shovels, or dolls); if it doesn't fit easily into a binder, photograph the item and enclose the print. Judges will look for a clear purpose and identity of the organization, high professional standards, originality and proven results.

8. Web Sites
A computer-based communication site aimed at internal or external audiences. The site should be new or have had significant updates within the last year. For all web sites, provide a URL address and three copies of the completed entry form. For internal sites, provide written instructions on how judges can gain access. If installation of software is required to view the entry, provide written information, time and disk space required. The installation process will be evaluated in the judging process if it is considered part of the audience's experience. Judges will look for ease of use, effective/appropriate application of graphics, originality, and quality of content.
